Privacy policy

This policy explains how UsualBook (“we”, “us”) handles personal data when you visit this website, request a call back, or use UsualBook to take bookings. We aim to comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Our role

For data about businesses that sign up and visitors to this website, we are the controller. When a business uses UsualBook to take bookings, the business is the controller of its clients' data and we act as its processor.

What we collect

• Call back requests: business name, your name and phone number.
• Account data: business details, staff names, contact details and login information.
• Booking data (on behalf of businesses): client name, phone number, appointment details and visit history.
• Technical data: basic server logs, and analytics data only if you accept analytics cookies.

Why we use it

• To provide the service, including sending booking confirmations and reminders by WhatsApp or SMS (performance of a contract).
• To get back to you when you request a call back (legitimate interests / steps before a contract).
• To keep the service secure and improve it (legitimate interests).
• Analytics, only with your consent.

Who we share it with

We use trusted service providers to run UsualBook, for example cloud hosting, messaging providers for WhatsApp and SMS delivery, and (if you consent) analytics. Some of these providers may process data outside the UK; where they do, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

How long we keep it

We keep personal data only as long as needed for the purposes above, or as required by law. Call back requests that don't lead to an account are deleted after a reasonable period.

Cookies

We only set non-essential cookies (analytics) if you click “Accept” in the cookie banner. You can change your choice at any time using “Cookie settings” in the footer. We also set one small cookie (“ub_lang”) to remember the language you picked; it contains no personal data.

Your rights

You have the right to access, correct, delete, restrict or object to the use of your personal data, and to data portability. If you're a customer of a business that uses UsualBook, please contact the business first; we'll help them respond. To exercise your rights, email hello@usualbook.com. You can also complain to the Information Commissioner's Office (ico.org.uk).
